Xecs office

The Xecs office is responsible for the implementation and day-to-day management of the Eureka Cluster Xecs and the projects. It offers several services to project participants, which are described in more detail below. To cover those services, each project participant is asked to pay a small fee.

Declaration of Acceptance signatories for Xecs project participants

All project participants in Xecs projects will have to sign and submit a project specific Declaration of Acceptance (DoA) before submitting the Full Project Proposal (FPP). Please note that this will be required for every project that a partner participates in, so AENEAS membership may be a more convenient mechanism to fulfil this requirement.

AENEAS membership brings many benefits and there is no fee to join the Association. If you are interested in funded collaborative programmes in Europe, such as Eureka Xecs and the Chips JU, AENEAS provides extensive support to these instruments. Therefore, AENEAS requests that project participants who actually receive funding pay a Variable Contribution. AENEAS membership provides an easy mechanism for fulfilling the required commitment to the Variable Contribution for all programmes that AENEAS supports.

Xecs variable contribution

For Xecs projects, the Variable Contribution is a set percentage of the Funding to be received as expected at the start of the project, independent from the source of the public funding (e.g., national, regional, etc.).

  • This applies to each AENEAS Member or DoA signatory and all their Affiliated Companies.
  • According to the 2025 budget approved by the AENEAS General Assembly of November 2024, the 2025 PENTA and Xecs Variable Contribution has been set at 1.8% of the Funding.
  • Each year the funding authorities are asked to provide the funding information to the Xecs office for the projects which have received the Eureka label the year before

Any change in the conditions above will be submitted to the AENEAS General Assembly.

The Variable Contribution is invoiced in 3 equal instalments over 3 consecutive years, in the first quarter of each year.

In 2025, invoices for the 1st instalment will be sent for projects of Xecs Call 2.

Services provided by the Xecs office

  • Advice to project participants on how to apply, explaining the rules, how to handle the Project Zone etc.
  • The Xecs office will launch and implement the call.
  • During each call a Matchmaking Event will be organised.
  • The Xecs office organises the evaluation by the Xecs Technical Expert Group.
  • Dedicated mentoring and coaching by reviewers and mentors is provided to all running projects.
  • Project reviews are organised on a regular basis and reports are provided to the consortia.
  • Easy and flexible change request process is available and handled by the Xecs office.
  • After a project has finished each project participant will be asked to fill out a Market Impact Report (MIR)
  • For all those activities a Project Zone for submitting proposals, performing evaluations etc. is provided.
  • Projects will be supported with promotional communication activities.
